Understanding Calendar Sync in Dragonfly
When you connect your Dragonfly calendar to an external calendar such as Google Calendar, you can choose how the calendars sync.
Each option controls how external calendar events are handled inside Dragonfly.
You will see two main options:
Default Sync (One-Way Sync)
This is the recommended default option.
In this setup, events from your linked calendar are brought into Dragonfly as blocked time slots.
This helps prevent clients from booking you when you are already busy elsewhere.
What this means:
Events from your external calendar block availability in Dragonfly
These events are shown as busy time slots in your calendar
No contacts are created from external calendar events
External events are not turned into system contacts or leads
When to use Default (One-Way) Sync:
Use this option if you want your external calendar to control your availability and simply block off busy times inside Dragonfly.
Two-Way Sync
Two-way sync adds a deeper level of integration between your calendars.
In this setup, events from your linked calendar are not only imported, but also converted into system appointments.
What this means:
Events from your external calendar are turned into system appointments in Dragonfly
Contacts are created for guests found in those calendar events
External calendar events become part of your Dragonfly system records
When to use Two-Way Sync:
Use this option if you want external calendar events to become fully tracked appointments inside Dragonfly, including contact creation for attendees.
How Dragonfly Appointments Appear on Your Calendar
When your external calendar (such as Google Calendar) is connected to Dragonfly, any appointments booked through Dragonfly are automatically created in your Dragonfly system.
These appointments are also sent to your connected calendar so you can see them alongside your other events in one place.
This helps keep your schedule organized and reduces the need to manually copy bookings between calendars.
Important Note:
Dragonfly always records your appointments in its own system
When a calendar is connected, those appointments are also reflected in your external calendar
This keeps your schedule aligned across both systems
Choosing the Right Option
Default Sync (One-Way) — Recommended
Best if you want your external calendar to manage your availability while keeping clients from other booking platforms separate from the Dragonfly contact list.
This option helps ensure that bookings from other systems stay within those systems, while Dragonfly only reflects your availability.
Two-Way Sync
Best if you want all appointments from your external calendar to become system appointments in Dragonfly, including automatic contact creation.
Final Recommendation
For most practitioners using multiple booking platforms, Default (One-Way) Sync is recommended because it keeps your Dragonfly system focused only on bookings made through Dragonfly, without importing external clients into our contact list.
Final Note
Both options are designed to help keep your schedule organized by bringing your external calendar into Dragonfly in different ways.
The right choice depends on whether you want simple availability blocking (Default Sync) or full appointment and contact creation (Two-Way Sync).
