Tips: Calendars

Calendars

Your Dragonfly calendar determines when clients can book appointments with you. Keeping your schedule up to date helps ensure your availability is accurate and provides a smooth booking experience for both you and your clients.

The guides below cover common calendar management tasks, including updating your schedule and blocking off time when you're unavailable.

Blocking Off Time in Your Dragonfly Calendar

There may be times when you need to make yourself unavailable for bookings, such as personal time, appointments, or schedule changes.

Blocking off time in your Dragonfly calendar ensures clients cannot book you during those periods.

When to Block Off Time

You can block off time whenever you are unavailable, including:

  • Personal appointments

  • Time off or holidays

  • Schedule changes

  • Breaks during your day

How to Block Off Time

If you manage your availability directly inside Dragonfly, you can block time on your calendar.

In general, you will:

  • Open your Dragonfly calendar

  • Select the date and time you want to block

  • Create a blocked time entry

  • Save your changes

Once saved, that time will no longer be available for clients to book.

Sync Note

If your calendar is connected to another calendar, blocked time will automatically follow your sync settings.

You do not need to duplicate blocked time in both calendars.

Things to Keep in Mind

Blocked time always overrides your availability, meaning clients will not be able to book those time slots.

If your schedule changes, you can edit or remove blocked time at any time.

Final Note

Your Dragonfly calendar helps you manage both your availability and your personal time in one place.

Keeping your schedule updated ensures clients can only book when you are truly available, creating a smoother booking experience for everyone.

Creating a Professional Attendee Experience

Your schedule controls when clients are able to book appointments with you. Keeping it up to date helps ensure your availability accurately reflects when you're able to offer sessions.

Dragonfly provides two ways to manage your schedule:

  • Regular Schedule – Set the days and times you are normally available each week. This is your recurring schedule and will remain in place until you make changes.

  • Date-Specific Schedule – Override your regular schedule for a particular date. This is useful if you need to adjust your hours for a single day, such as working extended hours, taking part of the day off, or becoming available on a day you normally don't work.

When to Use Each Option

Regular Schedule should be used for your normal weekly availability. For example, if you typically offer sessions Monday through Friday from 9:00 AM to 5:00 PM, your Regular Schedule is where you would set those hours.

Date-Specific Schedule should be used whenever a single day differs from your regular schedule. Once that date has passed, your Dragonfly calendar will automatically return to your normal recurring schedule.

Final Note

Review your schedule periodically to ensure it reflects your current availability. Keeping your Dragonfly schedule up to date helps provide a smooth booking experience for your clients and reduces the need to make last-minute changes.
